What is the confidence center?

The Employment Hero Trust Center is a portal accessible to the public that describes our safety, confidentiality and compliance practices. It is designed to ensure transparency, instill confidence and support reasonable diligence of customer safety; Whether you are an existing customer, a potential customer or a security assessor. We believe that open and easy -to -access information is essential to establish confidence, especially when it comes to protecting your commercial and employee data.

Who is the confidence center?

The confidence center is intended for:

• Existing customers producing internal or external reasonable diligence
• Potential customers evaluating the safety posture of the employment hero
• Risk teams for sellers, supply professionals and legal examiners

Where to find it

You can access the Trust Center on: Security.employmenthero.com

No connection is required to browse public information. However, sensitive content (certificates and reports) will require an NDA to display or download.

What you will find inside

The Trust Center covers all the key areas of our information and information confidentiality program:

• Infrastructure security. Presentation of how we secure our cloud infrastructure and our environments.
• Organizational security. Policy on a business level, access management, training and surveillance.
• Product safety. Development of software, tests and protection of secure data integrated into our platform.
• Internal safety procedures. Governance, response to incidents, risk management and final point checks.
• Data and confidentiality. Our approach to the GDPR, compliance with Australian privacy and global privacy compliance.

You will also find an assistant powered by AI who can help answer specific questions while you explore the portal.

Access relationships and certificates

A certain content from the trust center will invite a workflow “request for access” requesting your name, your email, your business name and the reason to request access. In most cases, this requires your organization to have an NDA in place with the job hero.

This will apply to the following documents:

• ISO 27001, ISO 27017, ISO 27018 and SOC 2 reports
• Summary of penetration tests summaries
• Disinfected security policies

Our team will examine the request and documents will be available for secure download.

Welcome to the August edition of the Employment Hero Product Update. We’re moving full steam ahead into the second half of the year, which means one thing: we’ve got a whole bunch of new products to share with you.

So, what’s new? We introduced the ability to automatically approve timesheets, a new Zapier integration, an easier way to upload tasks to the ATS, a new custom form feature, more SmartMatch improvements, and much more. Everything is there and ready to use on the platform – let’s get started.

Automatically approve timesheets

Available for the following HR plans: Platinum

We’ve just made managing timesheets a whole lot easier with our all-new auto-approval feature.

Customers will now see a toggle to enable or disable the auto-approval feature, by navigating to C.Company Settings > Job Settings > Timesheet Self-Approval.

When enabled, if start and end time timesheets that employees submit (daily or weekly) match their scheduled shift, they will be automatically approved, given that the following matches:

• Date
• Shift start time
• Shift end time
• Cost center
• Type of work
• Number of breaks

Custom Colors Now Available

You can now replace the default purple with your brand colors, making it a unique product.

Previously, employee record edit workflow templates lacked essential dynamic fields, limiting your ability to include critical contextual information such as an employee’s primary manager or start date. We’ve now upgraded the workflow engine to support additional dynamic fields, allowing you to tailor it to your business needs and improve operational efficiency, user experience and scalability .

Additionally, we’ve introduced a series of UI/UX improvements, including updated workflow icons, new user-friendly components, and confirmation pop-ups to prevent accidental exits. These updates are designed to make your workflow smoother, easier to navigate, and more efficient.

We just made it easier for your team to manage 1:1s

We all know how valuable 1:1s are, which is why we’ve made them even easier to manage on the platform.

Previously, only directors and owners could establish 1:1s on behalf of other employees.

Now, Admins and Owners can now grant access to employees to help them view, edit, or delete 1:1s, giving you more flexibility and support in managing your team.

New Zapier integration

We’ve launched a new integration with Zapier, allowing you to seamlessly transfer data from Employment Hero Payroll to apps in the Zapier app store. This low-code solution not only streamlines your workflows, but is also now the leading payroll provider on Zapier.

We’ve streamlined the ATS job creation workflow and reduced the time it takes to enter job details.

Available for the following HR plans: Hiring Essentials, Standard, Premium, Platinum

Everyone knows how time-consuming creating a job posting can be. That’s why we’ve further streamlined the process with a new job pre-creation mode.

Now when you select “Add a new job” Or “Create an internal role“you will have three options:

• Create from scratch: This option will launch the existing job creation flow, where the user will manually enter job details.
• Create from a task: This option will start the job creation flow, but in the “Job Details“, the user will be able to select an existing job within their organization to automatically fill in the fields of the step “Job Details” step using input from the previous task. This is similar to the logic used when a user copies a task.
• Create from employee: This option will start the job creation flow, but in the “Job Details“, the user can select an employee within their organization and the employee’s job details will be copied (excluding sensitive fields such as salary).

Close job offers without closing a position

HR plans: Hiring Essentials, Standard, Premium, Platinum

When you’re in the final stages of hiring, you may want to prevent new candidates from applying. This could be because you already have enough candidates or simply because you have already offered the position to a candidate and are waiting for their acceptance.

Previously, when you closed applicant acceptance, it closed all jobs within the ATS. This could make it difficult if you need to reopen the position to find more candidates or restart the process if a candidate fails.

Now, hiring managers can remove the posting from all job boards (including Swag Jobs and their careers pages) without closing the entire posting in the ATS. If the hiring manager wants to reopen the position to accept more applications, they can easily re-post it on these job sites.

Say hello to a powerful new custom form feature

Available for the following HR plans: Platinum

We’ve introduced powerful custom form functionality, making it easy for admins to capture specific information from their team. With this update, you can create custom forms, send them to individuals, teams, or sites, and track responses, all from the dashboard.

Employees will receive email notifications when a form is active and can complete it directly from their To Do widget. Authors will also be informed once the form is completed, ensuring smooth and efficient communication.

An easier way to schedule shifts with our new Copy Shifts feature

Available for the following plans: Platinum

We’ve made planning even easier with our new Copy Shifts feature. Now you can quickly copy selected shifts to the next day, week or fortnight, with advanced leave and shift conflict management options.

You can also choose how to navigate employees on leave or in shift conflict by either choosing not to copy the shift or pasting it as an empty shift (if shift bidding is enabled).

Improved job matching in SmartMatch and our ATS

Finding the perfect person for your open position just got a whole lot easier. We have enhanced our job matching capabilities with a new “Seniority» filter for employers.

Now, when you use our ATS or SmartMatch features, you’ll benefit from improved candidate relevance by filtering based on six seniority levels (e.g. graduate, intern, junior, etc.), ensuring better alignment between candidate’s positions and experience.

New features added to HR Clock/Clock Out function

We’ve added a new feature to our HR Clock In/Out settings that requires employees to take a photo when they clock in or out of a shift or break.

This update, available on mobile, also captures GPS locations. Employees using this feature will be prompted to grant their Swag app access to their camera and location.

Please note: This only applies to those using the HR Clock In/Out feature, and not to the HR Payroll Swag Experience beta.

Filter SmartMatch searches by desired salary

Available for the following HR plans: Hiring Essentials, Standard, Premium, Platinum

We’ve enhanced SmartMatch with a new feature that lets employers filter recommendations by desired salary, helping you find the best talent within your budget.

You can now refine your search by adding a salary range in any currency, annually or hourly. Recommended candidates will then be filtered based on this range to only show candidates who are within budget.

Tasks created via Workflows can now be sent to an external inbox

Available for the following HR plans: Platinum

We’ve expanded our task management capabilities by allowing tasks created via workflows to be sent to an external inbox, just like manually created tasks and onboarding/offboarding checklists.

This means you can be notified when a new employee is added to your team, when an employee has changed roles, or even when a candidate has signed their contract. This functionality also allows you to notify external people when a task is due, for example external IT service providers.

You can do this by adding the send email notification action in the Workflows feature.

A new functionality to automate statutory shared parental remuneration (ShPP)

We have introduced a new feature to automate Shared Parental Pay (ShPP), eliminating the manual work of tracking and processing Shared Parental Leave.

Now the system will automatically calculate, pay and report ShPP to HMRC, allowing you to manage these payments with ease and in full compliance with the legislation.

We’re making our naming conventions more local

We are updating our naming terminology to be localized to the UK.

Previously, Employment Hero used the terms “Leave” and “Rostering”. Now you will find them called “Congés” and “Rota”.

These terminology changes have been updated on the web platform, provided your language is set to “English (UK)” in Settings, and will be included in the next app update for Swag.
