A question for HR professionals: do you feel like you are constantly playing, faced with an endless dam and requests?

Although I cannot hear your answer via a screen, if I had to guess, I suppose your answer is: Yes, help me! Make the stop! I just need five minutes to take a cup of tea and go to the bathroom.

Now, this hypothesis is not only a by-product of my imagination.

HR are currently faced well-being crisis.

This year, we have seen countless big titles such as’A Third of HR professionals plan to stop due to professional exhaustion ‘, And ‘Over 40% HR teams feel overwhelmed ”.

Each company will present its own unique HR challenges, but speaking with those of industry, it has become clear that data is a major point of pain.

To answer questions to synchronization of HR data with payroll, there are a number of problems distressing small businesses.

Fortunately for you, we have gathered a dream team of HR experts in our recent webinar, offering advice and advice.

In this blog, I summed up some of the areas that our speaker, Deni Williams, chief HR program advisor, covered concerning HR data and the connection of key commercial systems.

Make the most of your HR data

Does the absence of illness increase? What is the budget impact of bonuses this year? Which department has the most unsubscribe?

For human resources professionals, questions may not feel endless.

Good HR data can unlock wealthy information on the commitment and satisfaction of employees.

However, many HR professionals find it difficult to follow the management of their personnel data alongside their daily management of people – not to mention all requests from other teams!

Deni explains by saying: “There are many companies that still use paper and calculation sheets for all their HR processes – I know that I certainly work for a small business.

“Jap and keep everything together when your data is spread out is so difficult.

“Many companies are on this route, from the use of paper to technology; An area that I urge people to look at cloud -based software because it gives access to all your data at any time, at any time.

“You should know that the data is up to date and that you work with the latest information, which is essential for compliance but also decision -making.

“You want to participate in meetings where you can have the answers in a few seconds, not days.

“If your data is in spreadsters or on paper, it does not help you prosper; It does not allow you to survive.

“I’m sure we all had these last-minute requests, where people ask: can you just get this?”

“Having technology behind you and all your data in one place is really important.

“In addition, in this sense, the reports must be automated, not compiled manually, because it reduces errors, saves time and gives you the necessary information to make faster decisions.

“Precision is not only a good to have – it is a must during decisions that have an impact on a team.”

HR software: data collection

For good data, you need the correct interface to collect key information.

For example, having a screen dedicated to outgoing collects key information such as the reasons for reasons and may include questionnaires.

This type of functionality can apply to a range of scenarios, from the capture of information when integrating new starters into complete quarterly examination processes.

However, the capture of information is only part of the puzzle.

You must also find, display and easily share relevant information – it should be easy to answer questions with your HR software.

You may be looking for future business leaders among your staff.

Having a large set of people’s data and being able to easily draw information means that you can effectively locate individuals with specific skills, traits and achievements.

HR software: Data display

Good HR software allows you to create practical dashboards in the system, offering a centralized real -time location for all current data areas that you will need throughout your day.

These dashboards can be personalized to contain all the data points you need, such as the cost of the disease, the lost days, the state of the workforce, etc.

In addition to dashboards, good HR software allows you to quickly build reports in the system, which can also be planned, preventing you from shooting the same data.

A bonus is that the data you use is in real time – if something changes in the system, it is automatically reflected in your reports without the need for manual intervention.

Connection of systems to improve precision

There is a fundamental need for HR to work better with other functional areas, such as payroll and finance.

The disconnected systems, the entry of endless data and the fight against constant fires leave the overworked HR professionals, frustrated and stretched too thin.

Deni explained more: “”One thing I will add is that HR systems must play well with other software, such as your payroll platform.

“HR and payroll integration eliminates duplication, reduces manual updates and accelerates treatment.

“When your systems synchronize, you benefit from a solution specially designed with all the bells and the whistles.

“The team behind this software also benefits from fewer errors, better workflows and improved experience.

“Many HR teams manage payroll in addition to their already enormous task list, so being able to rationalize the process is massive.”

How does the integration of HR software work?

An API, or application programming interface, is a set of rules and protocols which allows different applications to communicate with each other.

Consider an API as a digital bridge that allows systems to exchange information and create a single source of truth about your technological battery.

Example: If an employee is entitled to overtime, he can add hours in the HR software, which goes to the approval of the line manager, the HR system then calculates the remuneration rate and is then pushed into the payroll platform to be treated.

Lack of budget. Lack of resources. Lack of time.

Regarding HR management, these are some of the small businesses (SMEs) to face.

Now HR is sufficiently complicated, with new legislation shaking the workplace and the daily management of people already requiring a huge amount of effort.

It is not surprising that we see the big titles like ‘A Third of HR professionals plan to stop due to professional exhaustion ‘, And ‘Over 40% HR teams feel overwhelmed ”.

Each company will have its own set of unique challenges.

Although we cannot cover them all in this blog, I sat with our HR experts to discuss three of the biggest problems with which SMEs are currently faced.

1) Limited confidence in employment law

We have found that many small businesses are lacking in confidence in competition from labor law.

Not only are there regular updates of things such as the national minimum wage (NMW), but the bill on employment rights of the government of Labor (ERB) will also bring a seismic change to the British workplace.

The notable changes to the bill on employment rights include:

End zero hour contracts

Tackle

Flexible flexible work

The fair work agency

Strengthening statutory disease wages (SSP)

Fill in employment rights

The bill on employment rights should be adopted this fall, that is to say at this time that the modifications begin.

The roadmap suggests that the measures will be implemented in four stages:

Step one (expected fall 2025): repeal of certain previous unions and new protections for industrial action

Second step (expected April 2026): The first paternity leave, changes in statutory sickness remuneration (SSP), a new fair work agency and simplified union recognition

Step three (expected October 2026): New rules in fire and rehiring and other changes related to the union

Step four (expected in 2027): Complex changes, including the reform of zero hour contracts and the protection of a day against unfair dismissal

Peyton Inglis, HR consultant, Iris Software Group, commented: “Although the large part of the details is still to be confirmed by the introduction of secondary legislation, the message to employers is obviously.

“There will be new legal risks for employers to navigate a more assertive application scheme, an increase in administrative requests for companies and HR professionals and greater protections for workers.”

2) The Multi-Chat HR professional

In many small businesses, human resources professionals must assume generalist roles, simultaneously managing payroll, management of people, office administration and finance.

This comes from the need because there is simply no range to build a larger team; Small businesses cannot afford the luxury of specialized roles enjoyed by major organizations.

The consequence? In simple terms, there is too much to do, and only one person is flooded with too much responsibility, often leading to professional exhaustion, bad well-being, errors and a lack of strategic action.

3) Work in close collaboration with the founders and CEOs

Stakeholder management is a huge challenge in SMEs.

Unlike large organizations where HRs have an established hierarchical structure, many HR professionals in small businesses often go directly to the management of the company.

As such, they must simultaneously serve as a bridge between strategic commercial objectives and the practical management of people.

This creates a complex dynamic.

Business managers often look for rapid and immediate decisions, while HR needs time to search, consult regulations and provide compliant advice.

The PME Business Workshop: Optimizing HR and payroll

Do you want answers to these problems?

Competing with larger organisations has never been an easy task for small-to-medium enterprises (SMEs). Limited resources, smaller teams and tighter budgets often make it feel like the odds are stacked against them. Artificial Intelligence (AI) has arrived and is changing that, big time.

Once considered out of reach, AI for small business is now an affordable, practical way to streamline operations, improve customer experiences and unlock growth. This blog explores how SMEs can use AI not just to keep up, but to compete (and win) in today’s fast-moving market.

Why small businesses need AI to compete in today’s market

For many SMEs, competing with larger organisations is a constant challenge. Limited budgets, smaller workforces and fewer resources can restrict growth opportunities and make it difficult to match the pace of big players. And while larger businesses have the luxury of being able to invest heavily in tech, marketing and staffing, SMEs have to stretch resources and get creative to keep up.

At the same time, customer expectations are changing rapidly. In today’s digital-first world, consumers expect fast responses, personalised experiences and seamless online interactions. Delivering that level of service without a large team or big infrastructure can feel impossible. But SMEs do the impossible every day and there are now plenty of tools on the market to help them continue to do just that.

But one of the biggest barriers faced by SMEs has been the widening technology gap. Large organisations pour millions into digital transformation, data analytics and automation, widening the competitive divide. This is where AI for small business closes the gap. By adopting artificial intelligence-driven tools, from chatbots and automating recruitment processes to predictive analytics, SMEs can access capabilities once reserved for corporations with massive tech budgets.

It’s important to remember that AI for small business is not about replacing people; it’s about enabling smarter, leaner and more agile growth. With an effective tech business strategy, SMEs can free up time from repetitive tasks, make better decisions faster and deliver the kind of customer experience that builds loyalty.

Long story short, artificial intelligence levels the playing field, helping SMEs compete confidently in a market where agility and efficiency often matter more than size.

Key growth advantages AI gives to small businesses

With so many fads and passing trends, it’s easy to get swept up. But artificial intelligence is proving to be more than just the buzzword of the moment. It’s a practical tool that can bring genuine improvements to the way SMEs function.

Still not convinced? Here are four of the most impactful advantages of AI for small businesses.

Automating routine HR tasks to free up time and resources

For small teams, time is the most valuable resource. Too often, hours are eaten up by repetitive admin, scheduling meetings, processing invoices, handling HR paperwork or entering data into spreadsheets. Automation tools take these routine tasks off employees’ plates, allowing SMEs to operate leaner while reducing human error.

The result? Leaner operations and more breathing room for business leaders to focus on growth strategies rather than day-to-day admin. This shift makes artificial intelligence a cornerstone of business productivity, ensuring that limited staff can work on projects that directly drive revenue and innovation.

Smarter marketing with AI-powered tools

Marketing is one area where SMEs often struggle to compete with larger organisations. Big players have entire teams dedicated to content creation, analytics and customer segmentation. But the evolution of artificial intelligence levels the playing field.

Tools like ChatGPT, Gemini and Jasper can help leaner marketing teams to ramp up their output through proof reading, content ideation and analysis. AI-driven email automation platforms can also segment audiences, score leads and predict which campaigns will perform best. What a game changer.

This means small businesses can deliver the same level of personalisation and customer experience as much larger competitors, without needing a big team. An AI business strategy built around marketing automation can help SMEs attract more leads, nurture stronger customer relationships and fuel business scalability.

Enhanced decision-making with AI insights

One of the most powerful applications of AI for business growth is in data analysis. Instead of relying on gut instinct or limited reports, SMEs can use tools to uncover insights that guide smarter decisions. Artificial intelligence can analyse sales patterns to improve forecasting, optimise inventory management and even recommend pricing strategies.

For example, small retailers are already using artificial intelligence to optimise their supply chains, reducing overstocking while avoiding shortages. This kind of intelligence was once only accessible to corporations with data science teams, but with today’s SaaS (software as a service) platforms, SMEs can tap into the same insights and scale their strategies with confidence.

AI-driven customer service

It’s no secret that customer service can make or break a business, but maintaining 24/7 support is rarely feasible for a small team. AI-powered chatbots and live support tools change the equation. By using natural language processing (NLP), these tools can answer common queries, resolve issues instantly and even escalate complex cases when needed.

For SMEs, this means providing around-the-clock service without hiring additional staff. Beyond efficiency, artificial intelligence powered service improves customer satisfaction and reduces churn by delivering fast, consistent support. In today’s experience-driven economy, this gives small businesses a crucial competitive advantage.

How AI helps small businesses scale strategically

Scaling is often one of the biggest hurdles for SMEs. Growth usually means hiring more people, expanding infrastructure or stretching existing staff to breaking point, all of which come with significant cost and risk. This is where AI offers small businesses a path to scale smarter, not harder.

Scaling without adding headcount

By utilising tech in a strategic way, SMEs can expand their capabilities without needing to immediately grow their workforce. From marketing automation to AI-powered HR and finance tools, SMEs can handle more customers, process more transactions and deliver better service without the overhead of additional salaries. This lean approach keeps operations efficient and preserves agility, two qualities that give smaller organisations an edge over larger, slower-moving competitors.

Plug-and-play SaaS tools vs custom solutions

Gone are the days of needing a full development team to access new technology. The rise of AI-powered SaaS platforms has made advanced technology more accessible than ever. For most SMEs, plug-and-play tools like chatbots, email automation platforms or predictive analytics dashboards provide everything they need to compete. These tools are quick to deploy, affordable and don’t require in-house technical expertise.

Custom AI solutions, on the other hand, can deliver highly tailored functionality but often come with higher costs and complexity. For many small businesses, starting with SaaS solutions is the smartest AI business strategy, one that balances innovation with practicality.

Competitive agility vs operational bloat

One of the greatest risks of scaling is operational bloat, growing teams, processes and overhead faster than revenue. Artificial intelligence helps SMEs avoid this trap by enabling business scalability without unnecessary complexity. By automating routine work and providing instant insights it ensures growth doesn’t come at the cost of agility.

In a market where speed, flexibility and customer experience are just as important as size, small business AI allows SMEs to stay nimble and competitive, even against much larger players.

How small businesses can start using AI today

Introducing something new can feel overwhelming, especially for SME owners who are already stretched thin. But the good news is that AI for small businesses doesn’t have to be complicated or costly. Today, there are countless user-friendly tools designed specifically to help SMEs adopt AI quickly, affordably and effectively.

Free and low-cost tools for early-stage SMEs

Tech adoption doesn’t need a large budget. Many AI productivity tools offer free trials, freemium versions or low-cost subscriptions, making them ideal for startups and small businesses. For example:

ChatGPT offers a free version for content generation.

HubSpot provides AI-driven CRM features at entry-level pricing.

Tools like Trello and Notion now integrate AI assistants at affordable rates.

For early-stage SMEs, starting small with these tools is an effective way to experiment without significant financial risk.

Tips for choosing the right AI platform

When selecting AI tools, SMEs have a number of factors to consider, particularly given smaller teams, tighter budgets and you don’t have all day to figure out a tool. Here are some key questions you should ask when choosing a platform:

Ease of use: Does it integrate smoothly with your current workflows?

Scalability: Can it grow with your business needs?

Support: Does the vendor provide onboarding and training?

Value for money: Are you paying for features you’ll actually use or for bells and whistles you don’t need?

The best AI business strategy often begins by focusing on one or two pain points, like HR or payroll and then expanding into other areas once value is proven.

Risks and considerations

While AI for business growth is full of opportunity, SMEs should also be mindful of potential risks:

Data privacy: Ensure tools comply with regulations such as GDPR.

Bias: AI models can reflect biases in their training data, so decisions should always have human oversight.

Regulations: Stay aware of evolving AI laws, such as the EU AI Act, to manage compliance.

By balancing innovation with responsibility, small businesses can embrace AI with confidence, building sustainable growth while protecting both their customers and their reputation.

Common myths about AI in small businesses

Despite its growing accessibility, many SME leaders hesitate to adopt AI because of lingering misconceptions. Let’s tackle some of the most common myths holding small businesses back from unlocking the benefits of AI for business growth.

“AI is only for big corporations”

For years, artificial intelligence was seen as a technology reserved for global enterprises with billion-dollar budgets. Today, that’s no longer true. From AI-powered marketing tools to affordable SaaS platforms, SMEs can now access the same capabilities as larger organisations, without the hefty price tag. In fact, many tech solutions are designed specifically for SMEs, making small business AI both practical and impactful.

“It’s too expensive or complex”

Another misconception is that artificial intelligence requires costly infrastructure or a team of data scientists. The reality is that plug-and-play AI platforms have made adoption simple and cost-effective. Free and low-cost tools, like AI chatbots, predictive analytics dashboards or automated CRMs, allow SMEs to get started with minimal investment. What’s more, these tools are built to be intuitive, so business owners don’t need to be tech experts to see results.

“AI replaces people”

Perhaps the biggest fear is that artificial intelligence will make jobs redundant. In truth, it’s designed to augment people, not replace them. By automating repetitive admin and surfacing data-driven insights, artificial intelligence frees up employees to focus on higher-value, strategic work. For example, instead of spending hours on manual HR tasks, teams can dedicate their time to more strategic activities. With the right AI business strategy, technology enhances human potential and helps SMEs scale without losing their personal touch.

Final thoughts: Winning with AI as a small business

For SMEs, the challenge has always been how to compete with larger organisations that have more people, more money and more technology. Artificial intelligence changes everything. With the right tools and an intentional AI business strategy, SMEs can work smarter, deliver exceptional customer experiences and achieve business scalability without sacrificing their superpower, their agility.

In a market that rewards speed, adaptability and innovation, small business AI isn’t just a competitive advantage, it’s becoming essential. The sooner SMEs embrace it, the sooner they can unlock the freedom to focus on what matters most; growing sustainably and serving customers better than ever before.

Is there anything that prevents your business from enjoying growth this year?

The accounting landscape changes quickly, but many times, we see some blockers revealing. If you know them in advance, you can take them into account in your plans.

The 10 obstacles hindering your growth plans

Here is a list of recurring problems with which companies face when you are looking to develop.

We each conclude with An important question in bold. If you can answer this question, this obstacle is on track to be resolved.

However, if you need an additional overview, read the end of the blog. You will not be disappointed!

# 1 You need more expertise, but recruitment is not an option

If you want to provide your customers with everything they need – but you know that this ability is a problem for your business – the temptation is to start publishing advertisements for specialists in areas such as audit or to hire entire teams to manage popular requests such as payroll.

You need more “people’s power” and expertise. Is there a way to add this without recruitment?

# 2 You face intense competition

Certain areas of accounting are dominated by large companies focusing on high value work. Unfortunately for small businesses that try to compete, these main competitors move quickly. Suddenly, the niches that you aspire to discover and enter become dead ends with commercial development.

Is there a way to compete without tackling rival companies with front?

# 3 You constantly check the regulations

Small businesses must navigate a complex and scalable environment. This includes compliance with tax laws, audit standards and compliance requirements. Strict monitoring by regulators such as Financial Reporting Council (FRC) prevents small companies from undertaking lucrative work due to high risks and costs.

Compliance often hinders accountants – it involves a continuous learning and verification process. Are there any ways to maintain compliance with less stress?

# 4 Your efforts are not rewarded

Many small businesses underline their services by failing to invoice the advice they provide appropriately. The main sales arguments, such as advisory services, are often absent from the invoice.

But what happens if you discover that your competitors were doing a job you provide for free?

# 5 The adoption of technology seems expensive and difficult to access

Although technology offers efficiency and innovation possibilities, many small businesses think that they do not have resources or expertise to effectively adopt advanced tools such as Cloud accounts or automation.

What if there were ways to update your systems and go to the cloud – all without expensive servers and difficult to maintain?

# 6 Customers’ requests increase

Small businesses face increasing customers’ pressure for data-based advice that goes beyond traditional accounting services. Responding to these expectations requires technical expertise and solid communication skills, which small businesses have but often have trouble taking time.

How can you create more time to establish this level of relationship with your customers and how can you quickly get the data they need?

# 7 The management of cash flows is difficult

Like many SMEs, small accounting companies often meet cash challenges due to late payments or fluctuations in seasonal demand. This limits the ability of a business to invest in new growth initiatives.

How can you maintain a stable cash flow without investing time and excessive efforts, and is there an opportunity to make this beneficial for you and your client?

# 8 It can be difficult to maintain a leadership state of mind

It takes no more than a few events to lose a certain perspective, distracted instead by a list of Sky-Hauts tasks. If you do not have the ability to stop and get an overview of the events, however, other factors will make decisions for you.

Is there a way to take time, take a step back and feel again as a leader?

# 9 Lack of clear strategic planning

What has helped launch your business is not necessarily the key to long -term sustainable growth. The answer is very rarely more hours, more work, more stress and more general costs.

A growth plan must be to work smarter, not more difficult.

What if your growth ambitions had a clear roadmap, with clear target markets and an understanding of how you will evolve your services?

# 10 A lack of marketing and notoriety of the brand

It is inevitable that many consider marketing as a potentially high expenditure, in terms of time and money.

But there are reasons why large companies invest in this practice and send their best and most brilliant to the country’s events: good marketing work.

And if there were ways to market your business with a minimum of general costs, by releasing time and putting your people in front of prospects, customers and new connections?

Since the announcement in the October budget, companies have been trying to prepare. However, understanding the true cost of this change has left a lot in ignorance about the quantity they will pay.

What has changed?

The change of title is that the employer’s nicks has now increased from 13.8% to 15% and that the secondary threshold will drop from £ 9,100 to £ 5,000 per year. This will mean that you will start paying Nic on the employees’ salary on lower wages than before.

The government has also announced an increase in the employment allowance (from £ 5,000 to £ 10,500) and has removed the eligibility ceiling of £ 100,000, which means that more companies can claim it. However, our data shows that this can only benefit small businesses – which means that most small businesses will pay more.

Who is affected?

If your business has less than seven employees, you may be better thanks to the increase in the job allowance. But for companies above this threshold, costs are starting to increase rapidly.

We know that you are already working with tight budgets, so to help you understand what it will mean for your net profit, we have criticized the figures. By using real -time data of more than 100,000 employee records on our platform, we have estimated the average average cost for small businesses of different sizes and regions.

Business size

Estimated increased costs (per year)

8-10 employees

£ 530

11-15 employees

£ 2,412

16-20 employees

£ 6,245

21-30 employees

£ 8,472

31-50 employees

£ 17,967

What it means for small businesses

For small larger companies, finding £ 18,000 more per year will be a hard blow. More worrying average companies – which are less likely to absorb these costs – you need to need an additional £ 8,500 per year.

The cost increase is always a concern. These increases (above higher wages) make rental more difficult. And we can see it in our data. According to our smartmatch employment report, employment has contracted 0.3% each month since Nic’s hike announced in October. In February alone, employment dropped by 0.4%, young workers seeing the greatest impact.

In simple terms, companies hesitate to hire, and our economy already feels the consequences.

Stay on top compliance changes

With all these new financial pressures, the last thing you need is more administrator or unexpected expenses. However, Employment Hero is there to make things easier. The fight against compliance changes – like Ni increases – can be difficult when you have a limited time. Employment Hero maintains your payroll and your compliance effortlessly, so you can focus on what really matters – the growth of your business.

* Nic’s costs analysis calculated the impact of the national insurance rate of the new employer, in parallel with the extension of the employment allowance to £ 10,500, by analyzing the results for companies of different sizes in various British regions.
