Welcome to the September edition of the Employment Hero Product Update. We have a whole bunch of new products to share with you and we couldn’t be more excited.

So, what’s new? We’ve added new updates to SmartMatch, introduced new workflows, improved assessments, introduced new custom security settings, a time clock app designed specifically for HR and much more. Everything is there and ready to use on the platform – let’s get started.

You can now notify a person or team if they have incomplete reviews

Administrators now have the ability to schedule notifications for upcoming review deadlines. You can decide when to notify an individual or team when review end dates are approaching and set conditions to ensure that notifications are sent only to specific recipients, depending on whether the employee, manager, or both have fulfilled their part.

Please note:This workflow applies to newly created reviews. However, if you want to implement it on existing reviews, you can go into edit mode and click Save..

A simpler way to manage reviews with automated probation review workflow

The new scheduling feature in workflows allows admins to customize when employees are added to an assessment after their start date. Any review created in the Review Settings module can be selected in the Probation Review workflow, allowing administrators to automatically add employees to a review after a set number of days, weeks, months, or years .

Administrators can also determine which employees are added to a notice by setting conditions based on teams, locations, or job type.

Access to a whole new suite of workflow templates

We’ve added 11 new workflow templates to make it even easier to manage changes to employee records, expenses, leave, and onboarding. These templates come preconfigured for tasks like automatically approving certain leave or expense requests and notifying employees when their information is updated. They are designed to save you time and help you quickly set up workflows, showing how automation can simplify your daily tasks.

We’ve made workflows more flexible by allowing you to schedule actions when it’s most convenient for you. Now, instead of tasks or emails being triggered immediately, you can choose when they should arrive.

For example, you can schedule an email to introduce a new hire to their team a few days before they start, or set tasks for their first day, week, and month. If a scheduled action is set for a past date, it will automatically trigger immediately. All actions will be scheduled for midnight in your organization’s time zone.

A whole new explanation section

We’ve introduced a new explanation section in SmartMatch to help employers understand why certain candidates are recommended. Now users can see each candidate’s total SmartMatch score, as well as a breakdown of their performance in key areas: screening responses, experience, qualifications and skills.

Each section includes a summary, score, and criteria details, with icons displaying results as “Yes,” “No,” or “Partial.” Users can easily expand or collapse these sections for more information. This update provides clearer information about why a candidate is a good fit, making the selection process more transparent.

blankAn updated candidate workflow

We’ve updated the SmartMatch candidate workflow to allow candidates to record an introductory video, giving recruiters a deeper insight into their personality and skills.

When a SmartMatch candidate is shortlisted and asked if they are interested in a role, they can now record a short video introducing themselves, describing their experience and what they are looking for in a new role.

The video will appear in the candidate’s Swag Jobs profile under a new “Introduction Video” section, and in their ATS profile for any current or future applications. Candidates can re-record the video if necessary, and they can also add one directly through their Swag Jobs profile.

An easier way to communicate with interested candidates

We’ve made it easier for SmartMatch recruiters to connect with candidates who are truly interested in their position and their company.

Now, HR managers can trigger the SmartMatch process to automatically contact suitable candidates and identify those who are interested. These candidates are highlighted with the “Interested” tag for hiring managers, making it easy to contact them and share more about the position.

We’ve made shift management much easier

We’ve made some great updates to the roster to help you manage teams more easily. You can now view listings in 4-week and monthly time periods, and we’ve also improved the fortnightly view to make things clearer.

Additionally, you can sort lists by employee across all time periods, giving you more flexibility. Quick information on job changes and daily and weekly budget warnings are also available, making it easier to stay on top of everything.

blankImproved custom security settings for certifications and introductory content

We’ve improved custom security settings for certifications: You can now grant access to certification settings individually for greater control. This update ensures security management is simpler and more tailored to your organization.

We’ve also added a new option to manage induction content. Users can now get permission to manage induction content via the new “Induction Content” option under Custom Security Settings. This gives you more control and flexibility over your induction process.

An easier way to sync work types for HR and Payroll connected clients

We’ve automated the synchronization of payroll items (work types) for HR and Employment Hero Payroll connected clients. Previously, users had to manually trigger a payroll sync to HR, but now any changes made to work types in payroll will be automatically updated in HR.

This will apply if users create, update, delete, or restore work types. This update will significantly reduce errors and improve the overall user experience.

Say hello to a new clock app designed specifically for HR

Available on all packages

We’ve introduced the Employment Hero Time Clock app, optimized for tablets, to help your team quickly and accurately track their time and onsite attendance.

Employees can now clock in and out of their shifts and breaks, using a personal access code at a public kiosk installed on any Apple or Android tablet. The application synchronizes directly with HR lists and automatically creates timesheets, making it easier for managers. Administrators can also manage time clock access via a new settings page in Payroll Settings.

We’ve made it easier to manage 360 ​​reviews by allowing administrators to edit “in progress” reviews. You can now adjust details, change start or due dates, and even add or remove questions, review topics, and reviewers. If someone is added or removed, they will receive an email notification.

An easier way to import users into the Manage Users screen

Available on all packages

We’ve rolled out a new feature to make user management in Payroll even easier. You can now import full and restricted users directly into the Manage Users screen, saving you time.

Introducing in-platform communication functionality for AutoPay

Available on all packages

We introduced a communications system on the platform to streamline interactions between payroll partners and users.

This communications feature incorporates templates for requesting off-cycle payrolls, changes, and assistance with all things payroll. This will ensure that anyone with access to this feature will be able to access everything payroll related.
